The Challenge
The business owner had one firm requirement: the team could not lose a working day. Any downtime during the week meant lost revenue and disrupted client work. That ruled out a weekday move entirely.
The office had a server setup, not a large enterprise rack, but a small server and networking equipment that needed to stay connected as long as possible on Friday and be reconnected and tested at the new premises before the team arrived on Monday. The business owner was going to handle the IT reconnection himself on Sunday, but everything needed to be physically in place and organised by the end of Saturday.
The new premises were still being finished when the move was booked. There was a narrow window; the fitout was due to complete by Friday afternoon, and the move had to happen Saturday. If anything ran over on the fitout side, the whole timeline compressed.
The CBD location added a practical challenge. Large trucks on short blocks in the Taupō CBD mean limited parking options. Both buildings had ground-floor access, which helped, but the street parking situation needed to be planned in advance.
Our Approach
We did a walkthrough of both sites on the Thursday before the move – the existing office to understand the layout and what needed careful handling, and the new premises to check access and confirm where everything would land.
The server and networking equipment were flagged specifically. We don’t handle IT reconnection, but we do handle physical transport; each piece was photographed in place before being disconnected, wrapped individually, and packed in a dedicated section of the truck away from everything else. The photos gave the business owner a reference for reconnection on Sunday.
Standing desks were disassembled. Filing cabinets were moved, locked and put upright, which was lighter than emptying them and repacking. Each desk was labelled with the staff member’s name, so placement at the other end was straightforward.
We coordinated with the building managers at both locations for truck access on the Saturday. Got the parking sorted the day before.
The move started at 7 am. By 1 pm, everything was on the new premises. The team spent the afternoon placing furniture, reassembling desks, and making sure the layout matched what the business owner had planned. Done by 3 pm.
The Result
The business opened Monday morning without a hitch. The server was reconnected by the IT person on Sunday using the reference photos. Every desk was in position, every filing cabinet in the right area, every piece of equipment accounted for.
The business owner had budgeted for a half-day of setup disruption on Monday. It was not needed.
